Running a coaching business, and learning how to navigate the tech and all the options that there are, can be a stressful nightmare. If you don’t know where to start and it feels like every day there is another tool that is promoted to be the number one tool that will do everything for you and solve all your problems, then keep reading because we’re going to go over the 4 major tools I use in my business that make a huge difference. After years of trial and error I can say with confidence that these are the most useful tools I’ve found for my business. 

 

SO, maybe you’re not techie, you don’t like trying out new software and apps and you feel overwhelmed by it all…it’s okay, we will break it down for you. 

 

We’re going to look at tools great for sales, marketing, client delivery, and project management, so if any of these subjects are a focus, keep reading.

• Groove

This is a great platform for sales, marketing and is wonderful for building funnels. Let’s break down what it does.  So Groove has a full landing page business system. You can have a group funnel, which is the implementation of the different landing pages. You also have a groove cell which is your checkout and how people pay you. Furthermore, you can get people to buy an offer straight away, just with one click with the option of bump offers.

 

It has Groove Mail, so you can create automated sequences. It runs your affiliate programs, so you can have other people promoting you, while you manage and track all their payments through the platform.

 

Groove has a membership area where you can have all your programs and services. You can also upload videos, create automated webinars and even have an ecommerce store, with an SEO optimized blog. 

 

I’m running all my businesses using this software, just with different domain names and pages. I have at least four of my businesses running with one account of this software, so the savings are huge. And what’s even better about this is that their free account is epic. So you can have a free account where you create your landing pages, funnels, checkout, emails, have affiliates and membership. Now of course if you upgrade to the paid version you have more features and flexibility. But if you’re just starting out, the free version is perfect.

• Client Folio

This tool is something I use for managing clients. Often this is overlooked as an important process, very few people in the coaching and speaking industry invest in the tools for client management. However, when you’re growing it’s going to be very easy, if you’re using Google Drive and Google Documents, to lose track of the progress of clients and it can be hard to prove to the client all the work that you have done with them. A high use client folio is very affordable and with just one single account you can manage clients.

 

Every session I have with a client, whether it’s a single session or a group session, I create an account for them. I record all my notes there, send them the action points and everything is recorded. I can have them complete accountability questions, and get them to complete stats. Generally we track our clients’ results every month, providing them with the stats of their business, so everyone is accountable. No other system would do it. And that’s why I really love client folio. 

 

I would recommend checking it out if you are serious about the results, the delivery and the experience that your clients have with you. It will make them feel special having their own account in their own private members area, where they can see all the recordings and notes of all the sessions. It’s going to be a great way to get them to renew, so they can keep access to all the work that you have done together. Also, the founder and the creator, Michael Russo, is incredible. I really like the customer service, they are very receptive to ideas or some features you want to add.

• Content Studio

There are many social media tools and what I love about Content Studio compared to other social media tools, and why I think it’s worth the investment is, it has many different features that a lot of others don’t have. 

 

You can discover trending content at the moment, have a planner and schedule for your content, and it integrates natively with Canva. So you can design your social media post within Content Studio and access your Canva account without logging in. It’s a little thing, but it makes a big difference. It saves a lot of time, if you’re using templates and so on.

 

Furthermore, it will also give you reports and you can manage your social inboxes. So ALL the private messages from different platforms that you get, you can manage from Content Studio. They will all converge in one of the best tools that I’ve used. 

 

You can also create automated campaigns. Let’s say that you are creating and scheduling content today and want this content to be rescheduled in six months, every six months, you can add content in the future. And this is just touching the surface. It’s very easy to use with a simple interface, so check it out.

• Start Infinity

Now we’re moving from social media to project management. 

Imagine your business is growing and you can’t manage as you have been anymore. Your task list is from a piece of paper, or a Google Sheet, which is great as a starting point, but now that the business is growing, you need to do something different and need a project management tool.

 

I’ve tried so many tools for this, and I fell in love with Start Infinity. 

 

You can create project management boards literally for everything. You have templates for marketing, campaigns, and you can see all your activities, and sales pipeline with all the potential leads. You can even have personal boards, for your health and fitness as well as employees if you have members, or events that you’re running for product development, along with deadlines. 

 

I’m using it for everything.

So I know I said I only had 4 tools for you, but I have one bonus one I want to share because it’s what I use to record my TikTok videos and do automated captions. It’s called Captions Dot AI. 

 

Captions Dot AI is incredible. It’s very easy to use, simple and accurate in terms of captions. It’s one of my favorite apps that I use on my phone, but it’s not a desktop software, so you can only use it on your phone, but for social media videos it’s so helpful. 

 

So, this is my spill of tools. I’m someone that loves experimenting, and I’ve tried more than 300 different software products since I started my business 10 years ago. You can say it’s a waste of time, but it’s something that I enjoy doing, and it helped me understand what’s good and helpful and what’s not. That’s why I recommended Groove, Content Studio, Client Folio, Start Infinity, and Captions dot AI.
